Refund & Cancellation Policy
How the club handles membership fees that need to be returned, and what happens when a membership is cancelled.
1. How fees are paid
Membership fees are paid by bank transfer to the club’s account after an application has been approved for payment. Any refund is returned to the same account the payment came from; we cannot refund to a different account.
2. Cooling-off period
Because membership is bought at a distance, you may cancel within 14 days of activation and receive a full refund, unless you have already attended a members-only workshop, event or mentoring session in that period, in which case a proportionate deduction may apply.
3. Overpayment or duplicate transfer
If a transfer is duplicated or exceeds the fee due, the difference is returned once the club has confirmed the transfer with its bank.
4. Application not approved
Fees are requested only after an application is approved for payment, so a declined application should not result in a payment. Where a payment has been made in error, or an application is declined after payment, the fee is returned in full.
5. After the cooling-off period
Once membership is activated and the membership number issued, fees are non-refundable for the remainder of the membership period. This includes cases where a member resigns or stops attending.
6. Cancellation by the club
Where the club cancels a membership for a breach of the Membership Terms or Code of Conduct, no refund is due. Where the club cancels for its own reasons — for example if it can no longer provide membership — the unused portion of the fee is refunded pro rata.
7. Cancelled events and workshops
If a paid event is cancelled by the club, the ticket price is refunded in full or credited to a future event at the attendee’s choice.
8. How to request a refund
Write to the club through the Contact page with your name, membership or application reference, the payment date and amount, and the reason. We acknowledge requests within 5 working days and aim to complete approved refunds within 14 working days of approval.
9. Disputes
If you disagree with a refund decision you may appeal in writing within 21 days. The appeal is reviewed by a committee member who was not involved in the original decision.
Category-specific fee amounts and any pro-rata calculation table will be added here once the fee schedule is confirmed.
